Effective Date: 20 May 2026 Last Updated: 20 May 2026 The Trade Room Academy

Your privacy matters to us. This policy explains what personal information we collect, why we collect it, how it is processed, and what rights you have over your data. We keep this simple and honest — we are an education business, not a data company.

01

Who We Are

The Trade Room ("we", "us", "our") is a trading education academy operating online. We provide trading courses, subscription-based software tools, and 1-on-1 consultation sessions.

If you have any questions about how we handle your personal information, you can reach us at support@thetraderoomacademy.com.

02

What Information We Collect

We only collect information that you voluntarily provide to us, or that is generated as a natural part of using our website and services.

Information you provide directly:

Name — provided when joining our waitlist, making a purchase, or booking a session
Email address — used to contact you, deliver your purchase, and send relevant updates
Phone number — optionally provided via our waitlist or contact forms
Payment information — collected and processed securely by our payment provider (Shopify Payments / third-party processors); we do not store your card details
Messages and enquiries — any information you include when contacting us directly

Information collected automatically:

Basic usage data such as pages visited, browser type, and device type — collected via standard website analytics
Cookies and similar tracking technologies — see Section 7 for details
03

How We Collect It

We collect your information through the following touchpoints on our website:

Waitlist forms — when you register your interest in our courses or upcoming launch
Purchase checkout — when you buy a course or subscribe to our software via our online store
Session booking forms — when you book a 1-on-1 consultation
Contact forms — when you reach out to us with a question or request
Direct email — when you contact us at our support address
04

How We Process Your Data

When you submit a form on our website, your information is routed through an automated workflow system and delivered directly to our internal team via email. This means your submission is not stored in a third-party database — it is processed in transit and lands in our secure inbox so we can follow up with you.

Workflow Automation

We use automated workflow tools to receive and route form submissions. These tools act as a secure relay — your data passes through the automation and is delivered to our email. We do not use this process to build marketing databases or sell your information to third parties.

Once received in our inbox, your information is handled by our team for the sole purpose of responding to your request, processing your order, or keeping you updated on The Trade Room.

05

Why We Use Your Information

We use the information we collect for the following purposes:

To fulfil your purchase — granting access to courses, activating software subscriptions, or confirming session bookings
To communicate with you — responding to enquiries, sending order confirmations, and providing support
To send relevant updates — notifying waitlist members when products launch, or informing subscribers of important changes
To improve our services — understanding how people use our website so we can make it better
To meet our obligations — maintaining records required for billing and dispute resolution

We do not sell, rent, or trade your personal information to any third party for marketing purposes.

06

Third-Party Services

In order to operate our website and deliver our services, we work with a small number of trusted third-party platforms. Each operates under its own privacy policy:

Shopify — our e-commerce platform, which powers our online store and processes payments securely
Payment processors — Shopify Payments and any associated processors handle card transactions; we never see or store full payment details
TradingView — our software indicators are delivered via the TradingView platform; their platform governs any data associated with your TradingView account
Calendly (or equivalent) — used for session bookings; any data entered during booking is subject to their privacy policy
AXI (Introducing Broker partner) — if you open a trading account via our affiliate link, AXI collects and processes your data under their own privacy policy; we receive only a referral commission and do not receive your AXI account data
Analytics tools — we may use standard website analytics to understand site traffic; this data is aggregated and not linked to individual identities

We only share your personal data with third parties to the extent necessary to deliver the service you requested. We do not share your information for any third party's independent marketing purposes.

07

Cookies

Our website uses cookies — small text files stored on your device — to help the site function correctly and to understand how visitors use it.

Essential cookies — required for the website and store to function (e.g. shopping cart, login sessions)
Analytics cookies — help us understand traffic patterns and improve the site; data is anonymised
Preference cookies — remember settings you have chosen on the site

You can control or disable cookies through your browser settings at any time. Note that disabling essential cookies may affect how the website functions.

08

Data Retention

We retain your personal information only for as long as necessary to fulfil the purpose for which it was collected, or as required to meet our legitimate business obligations.

Customer purchase records are retained for as long as your account is active and for a reasonable period thereafter for support and billing purposes
Waitlist and enquiry data is retained until the relevant campaign has concluded or until you request removal
Email communications are retained in our inbox in line with standard email management practices

When data is no longer needed, it is deleted or anonymised.

09

Your Rights

You have the following rights regarding your personal data:

Access — you may request a copy of the personal information we hold about you
Correction — you may ask us to correct inaccurate or incomplete information
Deletion — you may request that we delete your personal data, subject to any legal retention obligations
Unsubscribe — you may opt out of marketing communications at any time by clicking the unsubscribe link in any email or by contacting us directly
Objection — you may object to us processing your data for specific purposes

To exercise any of these rights, contact us at support@thetraderoomacademy.com. We will respond within a reasonable timeframe.

10

Data Security

We take reasonable technical and organisational measures to protect your personal information from unauthorised access, loss, or misuse. Our website uses HTTPS encryption, and payment processing is handled by PCI-compliant providers.

While we take security seriously, no system is completely immune to risk. In the unlikely event of a data breach that affects your personal information, we will notify you promptly and take appropriate remedial action.

11

Children's Privacy

Our services are intended for adults only. We do not knowingly collect personal information from anyone under the age of 18. If you believe a minor has submitted information through our website, please contact us and we will delete it promptly.

12

Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or for other operational or legal reasons. When we do, we will update the "Last Updated" date at the top of this page. We encourage you to review this policy periodically.

Your continued use of our website and services after any changes constitutes your acceptance of the updated policy.
